Personal data in the context of the application process
Personal data is information about the personal or factual circumstances of an identified or identifiable natural person. This includes information such as your name, address, telephone number and date of birth, but also data about your specific career, etc., which can be assigned to a specific person with reasonable effort. However, information that is not (un)indirectly associated with your real identity is not personal data.
Principles and purposes of processing personal data for job applications and during the application process
If you apply to us electronically, i.e. by e-mail or via our web form, we collect and process your personal data for the purpose of handling the application process and carrying out pre-contractual measures. By submitting an application on our recruitment site, you are expressing your interest in working for us. In this context, you provide us with personal data that we use and store exclusively for the purpose of your job search or application. Specifically, the following information is collected
Name (first name and surname)
E-Mail address
Phone number
LinkedIn profile (optional)
Channel through which you heard about us
Salary expectation
You also have the option to upload informational documents such as a cover letter, resume, and references. These documents may include other personal information such as date of birth, address, etc. Only authorized HR staff or staff involved in the application process will have access to your information.
Personal data will only be stored for the purpose of filling the vacancy for which you have applied. Your data will be kept for a period of 180 days after the application process has been completed. This is usually done to comply with legal obligations or to defend against claims arising from legal regulations. We will then be required to delete or anonymize your information. In this case, the data will only be available to us as so-called metadata without direct personal reference for statistical evaluations (e.g. proportion of women or men in the applications, number of applications per period, etc.).
In addition, we reserve the right to store your data in our "Talent Pool" for a period of 180 days after the end of the application process in order to identify other vacancies that may be of interest to you. This includes, for example, applications for an apprenticeship or internship. By accepting the Privacy Policy, you consent to any further storage of your data and inclusion in our Talent Pool.
If, during the application process, you receive and accept an offer of employment with us, we will store the personal data collected during the application process for at least the duration of the employment relationship.
Transmission of data to third parties
Data submitted as part of your application will be transmitted using TLS encryption and stored in a database. This database is operated by Personio GmbH, a provider of human resources and applicant management software (https://www.personio.de/impressum/). In this context, Personio is our data processor pursuant to Art. 28 GDPR. The processing is based on an order processing contract between us as the controller and Personio.
Data subject rights
If we process personal data as a controller, you as a data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (Art. 15 GDPR), the right of rectification (Art. 16 GDPR), the right of erasure (Art. 17 GDPR), the right to restrict processing (Art. 18 GDPR), the right to data portability (Art. 20 GDPR), the right to object (Art. 21 GDPR). If the processing of personal data is based on your consent, you have the right to withdraw this consent according to Art. 7 III GDPR.
